How to read a South African bank statement

Understand what each transaction row means, check how money moved through the account, and distinguish a statement from other banking documents without sharing your financial information.

Start with the statement summary

Before reading individual transactions, confirm that the document belongs to the expected account and covers the period you need. Bank layouts vary, but the first page usually identifies the account type, a masked or full account number, statement period, and opening or closing balance.

  • Statement period: the first and last dates covered by the document.
  • Opening balance: the account balance at the beginning of the period.
  • Closing balance: the balance after the posted entries in the period.
  • Account holder and account details: sensitive information that should be redacted before a statement is shared.

Understand each transaction row

A transaction row records one posted movement or adjustment. The headings and order differ by bank and account type.

For credit cards, loans, and overdrafts, debit, credit, positive, and negative values can be presented differently from a normal transactional account. Use the column headings and summary on that document rather than assuming every statement follows the same convention.

Reconcile the balances

For a conventional transactional account, the basic check is:

Fees, interest, reversals, corrections, and transactions posted near the period boundary all affect the calculation. Work in the order printed on the statement and use its running balance. Do not mix an app’s current available balance with a historical statement’s closing balance.

If your calculation does not reconcile, check for a second page, separate fee entries, a reversed transaction, or dates outside the selected period before assuming the bank’s total is wrong.

Recognise common statement entries

  • Card purchase: a card-present or online payment, sometimes with a shortened merchant name.
  • Debit order: a recurring or once-off collection authorised against the account.
  • EFT or payment: money sent to or received from another account.
  • Cash withdrawal or deposit: cash activity through an ATM, branch, retailer, or supported deposit channel.
  • Bank fee: service, transaction, notification, cash-handling, or other account charge.
  • Interest: interest paid to the account or charged on a debt or overdrawn balance.
  • Reversal or refund: an entry that returns or corrects an earlier amount. Find the original entry before treating it as new income.
  • Internal transfer: money moved between your own accounts. Count it as a transfer rather than spending or income when reviewing your finances as a whole.

The exact name and legal or administrative use of each document depends on the bank and the organisation requesting it. Ask the recipient which document and date range it requires.

Use the statement to understand spending

  • Separate income, refunds, transfers, and genuine spending.
  • Group spending into useful categories such as groceries, transport, housing, fees, and subscriptions.
  • Identify repeated merchant names and debit orders.
  • Compare complete months rather than drawing conclusions from a partial period.
  • Review unknown transactions directly with the bank through an official channel.

A description is not always a clean merchant name, and one merchant can appear under several references. Keep the original description available when categorising so that you can trace an entry back to the statement.
